CCP specializes in providing comprehensive cardiology care and currently has over 35 locations throughout the Philadelphia area. We are currently hiring a full-time Site Supervisor for our CTA Department.
Responsibilities
- Scheduling
- Perform daily scheduling optimization protocols to ensure imaging schedules are at the highest capacity level possible at all times and imaging orders are scheduled correctly based on insurance approval and physician ordering.
- Frequent review of future schedules for opportunities to bump up appointments in order to free up future slots and ensure highest capacity of arrivals for current schedules as possible.
- Complete interval reminders to patients prior to appointment to ensure preparation compliance and prevent no shows.
- Improve the arrival rates for imaging schedules by handling all cancellation or rescheduling requests and offering alternatives to our patients to guarantee arrival
- Open and close schedules for Cardiac CTA Imaging Center, reschedule patients as needed, send out missed visit letters
- Orders & Admin Hold Reconciliation
- Daily review of admin hold reports to ensure all orders have a corresponding appointment scheduled or scheduling outreach documentation to patients.
- Develop a thorough understanding both clinical and clerical CTA imaging process details, preparations and testing overview to become a resource for patients throughout the scheduling and scanning process.
- Maintain timely communication with ordering physicians and referring offices based on desktop messages, order notes, flags, etc
- Reconciliation of outside reports and third party imaging overread reports and ensure reports are sent to the appropriate ordering physician
- Billing, Precerting & End of Day Duties
- Maintain an understanding of the insurance prior authorization process in order to optimize short notice scheduling attempts and reworking of schedule for authorization delays.
- Review of all orders and corresponding patient charts for upcoming appointments to ensure a medically necessary diagnosis is listed to prevent denial of payer reimbursement.
- Assist in entering/coding charges, reviewing instructions for studies with patients, collecting copays, and verifying demographics.
- Involved in post procedure billing issues that require input for resolution including Good Faith Estimates for HDHP and OOP expenses.
- Reconcile daily copay reports in Phreesia, prepare weekly deposits and monthly deposit for CCP
- Reconcile petty cash and prepare petty cash spreadsheet monthly
- Verify eligibility, collect and load referrals, precertify all testing procedures
- Enter all testing charges, serve as a first line contact for patients with billing questions
- Site Supervision
- Assess and resolve/escalate patient issues that would delay studies including claustrophobia concerns and required pre imaging bloodwork.
- Oversees administrative aspects of the front desk including patient scheduling, registration, and billing.
- Ensures proper workflows are being followed by employees.
- Supervises employees in areas assigned which includes employee training, disciplinary actions, performance evaluations and adherence to all company policies and procedures.
- Notify Answering Service of all downtime
- Prepare all storage items and maintain appropriate stock of supplies
- Arrange with Office Manager or Operations Director for all staffing needs
- Under the direction of the Office Manager or Operations Director, implement and apply all workflows are developed
- Assist the Office Manager or Operations Director in the recruitment processing including hiring
